PixiesLabs ("PixiesLabs," "we," "us") provides an AI email assistant for property managers. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our services you agree to this policy.

1. Who we are

2. Information we collect

Account information — name, business name, email address, and billing details of the property manager who subscribes.
Google account data — with your explicit authorization, we access the Gmail inbox you designate to read incoming tenant emails and to draft and send replies on your behalf. We request only the access needed to provide the service, and you may revoke it at any time.
Message content — the tenant emails processed by the service and the replies generated, stored so the service can operate and display them in your dashboard.
Usage data — logs, metrics (emails handled, response times, hours saved) and technical data needed to run and secure the service.

3. How we use your information

To read tenant emails, generate draft or automatic replies, and log activity in your dashboard.
To provide, maintain, secure, and improve the service and to provide customer support.
To bill you and communicate about your account.

We do not sell your data, we do not use your Google user data to train generalized AI/ML models, and we do not share it for advertising.

4. Google API Services — Limited Use disclosure

PixiesLabs' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, Google user data accessed from your Gmail account is used only to provide and improve the user-facing features of the email-assistant service. It is not transferred to third parties except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger or acquisition. Humans do not read your Google user data except with your explicit consent, to comply with applicable law, for security purposes (e.g., investigating abuse), or where the data has been aggregated and anonymized.

5. Sub-processors

We use a limited set of vendors to run the service, each bound by their own security and privacy commitments:

Anthropic (Claude API) — generates draft replies. Anthropic does not train models on API data.
Google — email access you authorize to your designated inbox.
Supabase — encrypted database and storage.
Cloudflare — hosting, delivery, and security.

6. Data retention

We retain your data for as long as your account is active. On cancellation, or on request, we delete stored message content and revoke access within 30 days, except where retention is required by law.

7. Security

Access to the Gmail inbox you designate is granted by you and can be revoked at any time from your Google Account settings. Access credentials are stored encrypted, isolated per client, and never shared between accounts. Data is encrypted in transit and at rest.

8. Your rights (Colorado Privacy Act & others)

Depending on your jurisdiction, you may have the right to access, correct, delete, or port your personal data, and to opt out of certain processing. Colorado residents have these rights under the Colorado Privacy Act (CPA). To exercise any right, email [email protected].

9. Tenant data

Property managers who use PixiesLabs are the controllers of their tenants' data; PixiesLabs acts as a processor on their behalf under a signed agreement (NDA/DPA). We process tenant emails solely to provide the service to the manager.

10. Changes

We may update this policy. Material changes will be posted here with a new "Last updated" date.
